We are seeking a highly organized and detail-oriented Office Manager to oversee day to day office operations. This role requires leadership, organization, and problem-solving including key revenue cycle operations like billing, coding, insurance verification, and collections. This role is responsible for ensuring efficient claim submissions, addressing denials, and managing payor portal logins while supporting the financial health of the center. Looking to have experience in medical billing, insurance processes, and patient account management.

Responsibilities

  • Oversee all staffing needs, including interviewing, hiring, and onboarding new employees.
  • Manage employee schedules, ensuring adequate coverage while maintaining cost efficiency.
  • Conduct performance evaluations, provide feedback, and implement improvement plans when necessary.
  •   Address employee concerns, mediate conflicts, and foster a positive, team-oriented work environment.
  • Monitor patient flow, appointment scheduling, and procedural coordination for optimal efficiency
  • Oversee compliance protocol for the office.
  • Order office supplies and complete invoices for supply orders.
  • Ensure all equipment, supplies, and facilities are properly maintained and operational.
  • Oversee billing and coding accuracy to minimize errors.
  • Address and correct claim denials in a timely manner.
  • Submit insurance claims promptly and follow up as needed.
  • Ensure patient insurance eligibility and verification before visits.
  • Complete pre-authorizations through appropriate portals.
  • Assist in managing self-pay patient processes.
  • Handle claim corrections, denials, and duplicate claims by submitting necessary documentation to payors.
  • Monitor overpayments and manage weekly A/R reviews with the physician.
  • Assist with provider credentialing and enrollment (minimal).
  • Manage payor portal logins and maintain accurate access.
  • Address escalated patient billing concerns professionally.
  • Serve as the primary contact for complex billing issues.
  • Experience in medical billing, insurance claims, and revenue cycle management.
  • Strong knowledge of insurance verification and authorization processes.
  • Familiarity with payor portals and credentialing processes.
  • Excellent problem-solving skills and attention to detail.
  • Ability to communicate effectively with patients, insurance companies, and internal teams.

Qualifications

  • This is an onsite position.
  • Requires interaction with medical staff, patients, and insurance providers.
  • Experience with Athena Health is a plus.
